When extending a job offer and signing a contract, both the employer and the employee establish a clear agreement. What is Buddy Punching?

Buddy punching is when an employee clocks in or out for a colleague. It involves covering for someone's absence, lateness, or unauthorised break by managing the attendance system on their behalf. 

Although this issue is not new, it is being discussed more frequently, mainly because employers are becoming more aware of the financial harm it can cause. 

Understanding Buddy Punching

In theory, buddy punching might seem like a minor inconvenience that is easy to resolve. However, the problem is more deeply rooted than most realise. So, let’s explore further the threats it presents and where to start in tackling it. 

Harm to Your Business

The main negative effect of buddy punching is the loss of income. You end up paying staff who have not been working. This amounts to fraud, similar to stealing from the company, and can cost your business millions each year. However, that said, the financial loss is not the only harm this misconduct causes.

Naturally, having fewer staff who work shorter hours will affect overall productivity. Even if an employee is consistently late by 5 to 10 minutes, this will add up to hours not worked, potentially causing delays in projects. You will also have no visibility over that. Another, less commonly discussed, issue caused by buddy punching is the inaccuracy of records regarding who is on-site. Identify the Reason

Nothing occurs without a reason—buddy punching is no exception. Surprisingly, employee lateness is very rarely the cause of such behaviour. More often, buddy punching results from a lack of schedule flexibility, fear of repercussions, or general dissatisfaction with work. It is also important to recognise that it is seldom caused by a single factor, but rather by a combination of several.

The easiest way to uncover the motives behind a fraud is to have a one-on-one conversation with the offender and ask them directly. However, depending on your relationship, this approach might not produce a response. In such cases, you should look for clues elsewhere. The employee’s communication with colleagues, productivity, and visible signs of distress (e.g., rapid weight loss) are good starting points.

Digital Time Theft Prevention

Although most companies have digitised their time tracking, many systems remain vulnerable to buddy punching. Whether it involves card swiping or logging into an assigned machine, as long as other staff have access, tampering becomes easy. The good news, however, is that there are methods to prevent time theft.

Unlike paper timesheets that can be forged, swipe cards that can be passed around, or punch cards that anyone can use, digital timesheets are much harder to manipulate. First, they can only be accessed by the individual clocking in or out. They can cause your employee to be laid off due to repeated attendance violations or to quit because their needs are unmet. Therefore, while investing in software is wise, don't expect it to handle everything. It is your duty to keep communication open with your staff, understand their motives, and seek compromises.

This can sometimes be a lengthy, detailed process; therefore, implementing a preventative measure with software is a sensible first step.
