You may have already noticed a number of changes introduced in our latest release on 15th May. While we were documenting some of the key ones along the way, we kept minor updates to ourselves so as not to overwhelm our users. We understand this may be a little daunting to some to find a new look at the system without being warned prior and some people may feel confused by the new functionality and changes of the old one.
To make sure it’s a smooth transition for everyone, in this article we will summarise all the changes that were implemented. To not make it longer than it already is, we put it in a format of a quick wrap-up, listing all the new things added and other items that have changed.
Clients page has been restructured, with a new client details section showing graphs of time and charges over the last 12 months. Also, a section below to view historical invoices for that client has been added;
Introduction of self-billing credit notes (exportable to Sage, Xero and Quickbooks);
Postcode lookup for quick address population;
Bank account validation;
A new page for managing your employee's / contractor's clock-ins, with the ability to view them all on a map if you have geo-location tracking enabled;
Lots of new functionality added to document signing, including additional tags, having 2 signers;
More functionality added to document management, including additional filters and on recruitment accounts, having the ability to control access to documents through an administrator's permissions;
HMRC new start fields added for the new HMRC post-graduate loan questions;
Additional auditing on expense forms, and a filter to view expenses which have been invoiced / not invoiced;
Employee group managers now have access to view their managee's expense forms;
Modernisation of some of the icons used throughout the system;
New fields available for imports;
A new dropdown for users to edit or cancel a leave booking straight from the calendar view on the leave bookings page;
Leave submission emails can now include a table showing upcoming and past bookings within the email, using the tag %UPCOMINGLEAVEBOOKINGS%;
Provided control for end-users to disable SMS messages sent to them;
Added a project billing contact field;
A new type of rate mapping has been introduced - Rates per employee per client
We've launched the invoice margin report, a report which allows you to view sales vs purchases, grouped by client, contractor or job, with customisable time grouping as well;
A new feature to allow contractors to request a pay advance from the self-billing page. You can configure the system so that a deduction is applied automatically on their self billing invoice, as a percentage which varies according to how many days in advance they wish to be paid;
A handy page for submitting timesheets in bulk, allowing you to select multiple users at once and then providing you with a large combined timesheet which can be filled in and submitted in one go;
Sick pay management, allowing you to specify the number of paid sick hours employees is paid annually, after which it reverts to an unpaid rate.
You can now break the link between a project and a single client and instead allow the project to be associated with multiple clients. Useful for scenarios where the project is the same type of work, but can be done for different clients. By sharing it, you no longer need to duplicate the project record and all its tasks for each client;
If you are using our renamable Activities tracking, you can now link these to be specific for a client or a project.
New page for contractors to request holiday pay to be taken out of their holiday pay balance;
You can now enter your AWR rates as part of the same rate mapping for a job. This means you don't need to manually create a new rate and set an end date on the old date when a candidate reaches AWR parity.
At Timesheet Portal, we are always looking for ways to give our clients as much value as we can. All of our updates and changes begin with you. Therefore, if you have any complaints, suggestions or would just like to provide feedback - we are waiting to hear from you.
